This Privacy Policy explains how Coal Creek Collective, doing business as Hank ("Hank," "we," "us," or "our"), collects, uses, discloses, and protects information when you use the Hank mobile application, our website at playhank.com, and related services (collectively, the "Services").
By using the Services, you acknowledge the practices described in this Privacy Policy. If you do not agree with this Privacy Policy, please do not use the Services.
1. Scope
This Privacy Policy applies to information processed through the Services. It does not apply to third-party websites, applications, golf courses, payment platforms, or other services that we do not control, even if they are linked from Hank.
2. Information We Collect
Information you provide
Account information, such as your name, email address, authentication details, profile photo, and account preferences.
Golf profile information, such as handicap, typical distances, preferred clubs, equipment details, playing preferences, and goals.
Round and gameplay information, such as courses, holes, scores, shots, clubs used, game results, challenges, achievements, and interactions with Beat Hank or other game features.
Content you choose to add, such as photos, videos, notes, round names, golf memories, playing-partner names, shared recaps, support messages, and other content.
AI interactions, including questions, messages, context, and feedback you submit to Hank, together with Hank's responses.
Communications and survey responses, including information you provide when you contact us, join a waitlist, participate in testing, or respond to research.
Location information
With your permission, Hank may collect precise location information while you use on-course features. We use location to identify or assist with identifying a course or hole, calculate distance to the green or other course features, provide location-aware recommendations, and support round functionality. Hank is intended to request location only when needed for a feature you choose to use. You can change location permissions in your device settings, but certain on-course features may not work correctly without them.
Information collected automatically
When you use the Services, we and our service providers may automatically collect information such as:
Device and app information, including device type, operating system, app version, language, time zone, and technical identifiers.
Usage information, such as screens viewed, buttons selected, feature usage, session timing, referrals, and interactions with the Services.
Diagnostics, such as crash reports, error logs, performance data, and information needed to troubleshoot problems.
Approximate location derived from an IP address, which may be used for security, analytics, or regional reporting.
Website information collected through cookies or similar technologies, including browser type, referring pages, and site interactions.
Purchases and subscriptions
If you purchase a subscription or other paid feature, the applicable app store processes your payment. We do not receive your full payment-card information. We may receive purchase history, subscription status, product identifiers, transaction identifiers, renewal information, and limited account or device identifiers from Apple, Google, RevenueCat, or other payment-related service providers so we can validate purchases, provide entitlements, prevent fraud, and understand subscription performance.
Information about other people
If you add a playing partner's name, photo, contact detail, or other information, you are responsible for having permission to provide that information and for using any sharing feature appropriately. Please avoid adding sensitive or unnecessary information about other people.
3. How We Use Information
We may use information to:
Provide, operate, personalize, and improve the Services.
Create accounts, authenticate users, sync data, and maintain golf profiles, rounds, memories, and game progress.
Calculate distances and deliver on-course, club, strategy, game, and memory-based recommendations.
Generate AI-powered responses, summaries, recaps, and recommendations.
Process subscriptions, validate purchases, provide paid features, and prevent fraud.
Monitor performance, measure product usage, diagnose errors, maintain security, and prevent misuse.
Communicate with you about the Services, including service notices, support, product updates, testing, and—where permitted—marketing.
Comply with law, enforce our terms, protect rights and safety, and establish or defend legal claims.
Create aggregated or de-identified information that does not reasonably identify you.
4. Hank's AI Features
Hank uses OpenAI's API services to generate certain caddie conversations, recommendations, summaries, and related features. Information sent for an AI request may include your message and relevant context from your golf profile, current round, course, hole, prior interactions, or saved memories when that context is needed to provide the feature.
Do not submit highly sensitive information that is unrelated to golf or the feature you are using. AI-generated output may be incomplete, inaccurate, or inappropriate for your particular circumstances. Hank's recommendations are informational and do not replace your judgment, course rules, posted warnings, weather alerts, or instructions from golf-course personnel.
OpenAI states that data submitted through its API is not used to train its models by default. OpenAI may retain API inputs and outputs in abuse-monitoring logs for up to 30 days unless a different approved retention control applies or longer retention is required by law.
5. How We Disclose Information
We may disclose information in the following circumstances:
Service providers. We use companies that host data, authenticate users, power AI features, provide analytics and diagnostics, manage subscriptions, send communications, and support the Services.
At your direction. We disclose information when you use a sharing feature, invite or identify playing partners, export a recap, or otherwise direct us to share content.
Legal and safety reasons. We may disclose information when reasonably necessary to comply with law or legal process, protect rights or safety, investigate fraud or misuse, or enforce agreements.
Business transactions. Information may be disclosed in connection with financing, due diligence, a merger, acquisition, reorganization, sale of assets, or similar transaction, subject to appropriate safeguards.
With consent. We may disclose information for another purpose with your consent.
Our current service providers may include Supabase for backend infrastructure, database, storage, and authentication; OpenAI for AI processing; Sentry for crash reporting and diagnostics; PostHog and Google Analytics for product and website analytics; RevenueCat for subscription and purchase management; and Apple or Google for app distribution and payment processing.
We do not sell personal information for money. We also do not use or disclose personal information for cross-context behavioral advertising or targeted advertising as those terms are defined by applicable law. If our practices change, we will update this Privacy Policy and provide any legally required choices before using information in that way.
6. Cookies and Analytics
Our website may use cookies, local storage, pixels, SDKs, and similar technologies to remember preferences, understand usage, maintain security, and improve performance. Google Analytics and PostHog may collect online identifiers, device or browser information, approximate location, and interaction data depending on how they are configured.
You may be able to manage cookies through your browser, device settings, a consent tool presented on our website, or privacy controls we make available. Blocking certain technologies may affect functionality. We do not intend to enable Google Analytics advertising features, Google Signals, personalized advertising, or cross-service remarketing without providing any notice and consent required by law.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Services, maintain your account, fulfill the purposes described in this Privacy Policy, comply with law, resolve disputes, prevent fraud, and enforce agreements. Retention varies based on the nature of the information and why it is processed.
Account, profile, round, gameplay, and user content are generally retained while your account is active and until you delete the information or your account.
When you request account deletion, we generally aim to remove or de-identify covered information from active systems within 30 days, subject to identity verification, technical constraints, and legal exceptions. Residual copies may remain in encrypted backups for up to 90 additional days before routine deletion.
Purchase and transaction records may be retained as needed for accounting, fraud prevention, app-store reconciliation, tax, and legal obligations.
Analytics and diagnostics are retained according to our configured retention periods and may later be aggregated or de-identified.
AI inputs and outputs may be retained by OpenAI for up to 30 days for abuse monitoring under its standard API controls, unless a different retention setting applies or retention is legally required.
We may retain limited information after deletion when necessary to comply with law, protect security, document a deletion request, resolve disputes, or enforce agreements.
8. Your Choices and Controls
Account and profile. You may review or update certain account and golf-profile information in the app.
Location, camera, and photos. You can manage permissions through your device settings. You may also choose not to use features that require these permissions.
Analytics. Where available, you may use Hank's privacy settings or contact us to opt out of optional product analytics. Some limited diagnostics may still be processed when necessary for security, reliability, or legal compliance.
Marketing. You may unsubscribe using the link in a marketing email. We may still send non-promotional messages about your account or the Services.
Account deletion. You may initiate account deletion through Settings > Account > Delete Account in the app or contact privacy@playhank.com. Deleting the app alone does not delete your account.
9. Privacy Rights
Depending on where you live and subject to applicable exceptions and thresholds, you may have the right to request access to, correction of, deletion of, or a portable copy of personal information; obtain information about our processing; withdraw consent; or opt out of certain sales, targeted advertising, profiling, or data sharing.
Colorado residents may also have rights under the Colorado Privacy Act, including rights to access, correct, delete, and obtain a portable copy of certain personal data, and to opt out of certain targeted advertising, sales, or profiling. Because we do not currently sell personal information or use it for targeted advertising, those opt-out rights may not apply to our present practices. Where applicable, you may appeal our response by replying to our decision or emailing privacy@playhank.com with the subject line "Privacy Appeal."
To submit a request, email privacy@playhank.com. We may need to verify your identity and authority before completing a request. You may use an authorized agent where permitted by law. We will not discriminate against you for exercising applicable privacy rights.
10. Security
We use reasonable administrative, technical, and organizational safeguards designed to protect information. However, no system, transmission, or storage method is completely secure, and we cannot guarantee absolute security.
11. Children's Privacy
The Services are not directed to children under 13, and we do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided personal information, please contact privacy@playhank.com so we can investigate and take appropriate action. If we later offer a child-directed feature, we will provide any additional notice and obtain any consent required by law before collecting children's personal information.
12. International Processing
Hank and its service providers may process information in the United States and other countries. Those countries may have privacy laws different from the laws where you live. Where required, we use appropriate safeguards for international transfers.
13. Changes to This Privacy Policy
We may update this Privacy Policy as the Services evolve or legal requirements change. We will post the updated version and revise the "Last updated" date. If a change is material, we may provide additional notice through the app, by email, or by another appropriate method.
